Refund policy

This Cancellation & Refund Policy applies to all bookings made with That Pickle Club (“we”, “us”, “our”) through our website or any authorised booking platform.
By completing a booking, you acknowledge that you have read, understood, and agreed to this policy.
1. GENERAL POLICY
We provide event-related services including but not limited to:

Beginner bootcamps
-
Group Coaching sessions
-
Workshops
-
Retreats
-
Multi-day events
-
Community events
All services are subject to availability and may be modified or discontinued at our discretion.
2. BEGINNER BOOTCAMPS, COACHING SESSIONS & SINGLE-DAY EVENTS
2.1 Cancellation by Participant

More than 7 days before the scheduled start date:
You may request a cancellation and receive: -
A full refund minus any non-refundable payment processing fees

7 days or less before the scheduled start date:
No refunds will be issued.
This policy applies regardless of reason, including scheduling conflicts, travel changes, personal circumstances, or illness.
2.2 Replacement Option
If you are unable to attend, you may transfer your booking to another person.
Conditions:

You must notify us in writing at least 24 hours before the event.

The replacement must provide their full name and contact details.

The replacement must agree to our Terms & Conditions and any liability waiver.

The transfer is subject to our confirmation.
Once approved, the booking will be transferred at no additional charge.
2.3 No-Shows
Failure to attend without prior written notice will be considered a no-show.
No refund or transfer will be granted for no-shows.
3. RETREATS & MULTI-DAY EVENTS
Retreat bookings often involve third-party commitments (venues, accommodation, instructors, vendors). As such, stricter cancellation terms apply.
3.1 Cancellation by Participant

More than 14 days before the retreat start date:
Refund available minus any non-refundable deposits, third-party charges, and processing fees. -
14 days or less before the retreat start date:
No refund will be issued.
Participants are strongly encouraged to obtain personal travel insurance to cover unforeseen circumstances.
3.2 Retreat Transfers
Retreat bookings may be transferred to another participant, subject to:

Written notice at least 7 days before the retreat

Approval by us
-
Compliance with supplier or venue policies
Additional administrative fees may apply if imposed by third-party providers.
4. CANCELLATION OR RESCHEDULING BY ORGANISER
We reserve the right to cancel, postpone, or reschedule any session, event, or retreat due to:

Insufficient registrations

Weather conditions
-
Venue issues
-
Coach or instructor unavailability
-
Safety concerns
-
Government regulations
-
Events beyond our reasonable control
If we cancel an event, you will be offered:

A full refund
We are not responsible for any additional costs incurred by participants (including travel, accommodation, or personal expenses).
5. REFUND PROCESSING
Approved refunds will be processed to the original payment method within 7–14 business days, subject to payment provider processing times.
Payment processing fees are non-refundable where applicable.
6. EXCEPTION POLICY
Any exceptions to this policy are granted strictly at our discretion and do not constitute a waiver of our rights under future circumstances.
